Missed Call Text Back: What It Is, How It Works + 10 Message Templates

Quick answer: Missed call text back is an automation that sends a text message to anyone whose call you don't answer, usually within seconds. The text comes from your business number, tells the caller you'll get back to them and invites them to reply. Their reply lands in your inbox, so a missed call becomes a conversation instead of a lost customer.

If you run a trade, a clinic or a salon, you miss calls every day because you're on a roof, under a sink or with a client. This guide covers how missed call text back works, what you need to set it up, the texting rules, and 10 templates you can copy today.

What is missed call text back?

Missed call text back (sometimes called a missed call auto reply or auto text for missed calls) is a simple rule: if a call to your business isn't answered, send the caller a text automatically.

A good text says who you are, when you'll get back to them, and gives an easy next step: reply, send a photo or use a booking link. It doesn't answer the phone for you. It covers the gap between the missed call and the moment you're free to call back.

How missed call text back works, step by step

  1. A customer calls and nobody answers. The call rings out, goes to voicemail or comes in outside your opening hours.

  2. The system sends a text within seconds. It goes from your business number to the caller's number, with the message you've written.

  3. The customer replies. They describe the job, ask a question or send a photo of the problem.

  4. The conversation lands in a shared inbox. Anyone on your team can see it on a phone or computer, with the full message history.

  5. You book the job. Reply by text, call back with the details already in front of you, or send a booking link.

Example: Sarah calls Your Business at 2:05pm about a leaking pipe. James, the owner, is on a job. Seconds later Sarah gets a text asking what the problem is, and replies with a photo. At 3:10pm James reads the thread and calls her back already knowing which parts to bring.

Why it matters for trades and busy service businesses

When someone needs a plumber, electrician or roofer, they often call more than one business. Whoever responds first has a real head start, because once a customer has arranged a visit with someone else, they usually stop looking.

The best-known research on response speed is a 2011 Harvard Business Review article, The Short Life of Online Sales Leads by James Oldroyd, Kristina McElheran and David Elkington. The authors sent a web test lead to 2,241 US companies: 37% responded within an hour, 23% never responded at all, and the average response time (among companies that replied within 30 days) was 42 hours. In a separate study of 1.25 million sales leads, firms that tried to contact a lead within an hour were "nearly seven times as likely to qualify the lead" as firms that tried even an hour later.

Two honest caveats: that research looked at online enquiries, not phone calls to tradespeople, and it's over a decade old. But the direction is clear, and an automatic text is the fastest response you can give when you physically can't pick up. More on this in our guide to speed to lead.

Mobile vs landline: can your number send and receive texts?

If your business number is a mobile

A mobile number can already text, but it won't text missed callers automatically. You need an app or service that does it, and depending on the tool, the text may come from a new number your calls are forwarded to rather than from your SIM. Check which number customers will see.

If your business number is a landline

Ordinary landline numbers generally can't receive SMS; Twilio's developer documentation lists "landline" as a reason a text can't be delivered. That means two things:

  • Your landline can't text back on its own. Replies to a number that isn't set up for texting have nowhere to go.

  • Some callers can't receive your text. If a customer rings from their home landline, the text won't arrive, so still check your missed call list.

What "text-enabling" a number means

Text-enabling (also called hosted SMS) adds texting to a number you already use for calls. Calls stay with your current provider; texts are routed to a messaging platform and its inbox. Twilio's Hosted Numbers documentation describes this: voice isn't affected, you prove you own the number and sign a letter of authorisation, and it supports US and Canadian numbers only (not mobiles).

Outside the US and Canada, whether a landline can be text-enabled depends on the country and the provider. The usual alternative is a text-capable business number that your calls are forwarded to. Either way, test it: call your business from a mobile, let it ring out, and check the text arrives and your reply gets back to you.

Setup options: carrier features vs dedicated software

There are three main ways to get missed call text back.

Option

Good for

Watch out for

Auto-reply feature in your phone or business phone system

Sole traders who just want a basic reply

Often one fixed message, no shared inbox, replies stay on one person's phone

Standalone texting app or missed call text back software

Businesses that only need the text-back part

Another login and subscription; leads still live in a separate place from your website forms and chats

Built into a CRM or lead system

Teams that want calls, texts, forms and chats in one inbox

Setup depends on your phone setup and country, so check how your number is connected first

Check your current phone provider's settings first; a basic auto-reply may be enough if you work alone. With staff, or several lead sources, dedicated software is usually the better fit.

What to look for in a missed call text back tool

  • Sends from your business number, not a random shared number

  • Different messages by time of day: one for opening hours, one for evenings and weekends

  • Two-way texting, so customers can reply and you can answer from a phone app

  • A shared inbox where your team can see who's replied and who still needs an answer

  • Notifications and contact records, so the right person sees replies and details are saved automatically

  • Booking links or calendar booking for appointment businesses

  • Compliance support: help with US 10DLC registration if you text US numbers, and opt-out handling

Compliance basics

This isn't legal advice, but these are the basics every small business should know before texting customers.

United States: A2P 10DLC registration

Texts sent by software from an ordinary local US number count as "application-to-person" (A2P) messages. According to Twilio's A2P 10DLC documentation, US carriers introduced the A2P 10DLC standard so that this traffic is verified and consensual, and anyone sending texts over a 10-digit local number from an application to the US must register. Unregistered senders face extra carrier fees and more message filtering, which means your texts may not arrive.

Your texting provider walks you through registering your business (the "brand") and your use case (the "campaign"). Describe it honestly: you only text people who have just called you. Toll-free numbers and short codes follow separate rules.

UK and EU: reply only, don't market

  • Only text the person who called you, and only about their call.

  • Include your business name in every message so people know who's texting.

  • Keep promotions out of it. The UK regulator's guidance on identifying direct marketing says a service message that includes marketing elements counts as direct marketing, even if that isn't its main purpose. EU countries have comparable e-privacy rules.

  • Don't add callers to marketing lists unless they've agreed to receive marketing.

10 missed call text back templates

Swap in your own name, business and links, and keep each one short enough to read on a lock screen.

10. Returning customer / short version

Common mistakes to avoid

  • No business name. A text from an unknown number that says "Sorry I missed you" looks like spam.

  • Promising a callback nobody makes. The text buys time; it doesn't follow up for you.

  • Replies going to the wrong place, like an old phone or an inbox nobody checks.

  • Same message 24/7. "We'll call you shortly" at 11pm sets the wrong expectation. Use separate after-hours and weekend messages.

  • Skipping US registration. Unregistered 10DLC traffic can be filtered, so your texts may not arrive.

  • Never testing it. Ring your own number every few months.

  • Forgetting landline callers. They won't get the text, so still check your missed call list.

FAQ

What is missed call text back?

An automation that texts anyone whose call you didn't answer, from your business number, usually within seconds. The caller can reply by text, and the conversation lands in your inbox so you can follow up and book the job.

Is missed call text back legal?

Generally yes, when you only reply to the person who called and keep the message about their call. In the US, texting from a local number through software requires A2P 10DLC registration. In the UK and EU, avoid adding promotions, because that can turn a service message into direct marketing.

Can I use my existing business number?

Often, yes. Mobile numbers can already text, but some tools need your calls forwarded to a number they provide. Landlines need to be text-enabled first, which is possible in the US and Canada through hosted SMS; elsewhere it depends on your country and provider.

What happens if the customer calls from a landline?

The text usually won't be delivered, because landlines generally can't receive SMS. Check your missed call list and call those customers back.

Is missed call text back the same as an answering service?

No. An answering service answers the call live. Missed call text back sends a text afterwards, so the caller can keep the conversation going until you respond.
